After your thesis has been reviewed by our staff

 

A student who successfully passes the Thesis Defense Examination must upload their thesis in PDF format to the Graduate System for format checking.

(If the thesis file is too large to upload, it should first be uploaded to a cloud storage service. The sharing link can then be pasted into a blank Word document, which should be converted to PDF and uploaded to the system.)
 

 

Our institute staff check whether the thesis complies with the "YTU Graduate School of Science and Engineering Thesis Writing Guide". (Format check)

  • The staff member checking your thesis will notify you of any errors or inconsistencies through the system. (An automatic email will also be sent to you.)
 
  • Before re-uploading the revised version of your thesis, please make sure that you have completely implemented all the corrections provided by the staff member.
 
  • If errors persist after the revision, the thesis checking process will continue until your thesis is free of formatting errors.
 
  • The responsible staff member approves the student’s thesis through the system, and a QR-coded Thesis Format Approval Form is automatically sent to the student via email. (You can also obtain the QR-coded approval document through the system.)
     
  • After this step, the student proceeds to the next stage in the graduation flowchart.
     
 

 

Important Notes on Thesis Checking

 
  • The conformity of theses to the Institute’s **Thesis Writing Guidelines** is checked only after the student has successfully passed the thesis defense examination.
 
  • Before uploading your thesis for checking, please make sure to read the Common Mistakes file and correct any issues if necessary.
 
  • You can access the Thesis Writing Guide and templates via the provided links.
  • Before uploading your thesis, ensure that you are using the latest versions of the templates.
 
  • It is strongly recommended to use the LaTeX Thesis Template to obtain a format that fully complies with our writing guidelines. Preparing a thesis that meets these standards using the MS Word template may be more difficult due to technical or version-related compatibility issues.
  • Please note that the Institute staff cannot provide technical support for problems encountered during thesis preparation.
  • Students who experience the issue of the capital “İ” appearing as “I” on the LaTeX cover page can follow the solution provided via the related link.
 
  • All urgent situations are the responsibility of the student. Please plan your timeline carefully (graduation application, thesis defense date, thesis control upload date, etc.) and avoid unnecessary emails or messages that may burden the Institute, which serves approximately 10,000 students.
 
  • After your thesis defense, you have one month to submit the hardbound copy of your thesis to the Institute.
  • If needed, you may request a one-month extension for thesis submission through the e-Enstitü system.
 
  • The hardbound copy must include the wet signatures of all jury members. The signature pages must be identical to those in the official thesis templates. Signature pages that do not match the required format will not be accepted, even if signed by the jury, and the student must obtain new signatures using the correct format. The responsibility for this lies entirely with the student.
 
  • If your thesis is in Turkish and prepared using MS Word, use the Turkish Thesis Template; if it is in English, use the English Thesis Template. To avoid compatibility issues, please use an up-to-date version of MS Word.
  • Rather than creating a new blank document, it is more practical to write your thesis directly on the provided templates by editing them, ensuring compliance with the Thesis Writing Guidelines.
